Built because the right tool

Calyx was built in close collaboration with active UK aesthetic clinics, medical practitioners, and clinic owners. For years, practitioners have managed their practices using software designed for GP surgeries, hair salons, or generic small businesses. None of it was built for the specific reality of running a medical aesthetic clinic in the UK.
The problems were not abstract. They showed up in the treatment room, at the front desk, and at the end of every month when the numbers did not add up.

A patient returns for a top-up and nobody can find the original treatment record. Notes are in one system, photos are in another, and the consent form is somewhere in a paper folder. The practitioner walks in without the clinical picture they need.

Calyx:Calyx keeps every patient's full clinical history in one place. Notes, photos, consent forms, treatment records, and medical alerts are all linked to the same record and accessible in seconds before any appointment.

Prescription-only treatments are administered with no formal prescription trail. The prescriber is not in the building that day. Nobody is entirely sure whether the paperwork is compliant. The clinic runs on informal processes that work until they do not.

Calyx:Calyx has UK POM prescription workflows built in. Every POM treatment generates a prescription record linked to an authorised prescriber. In-house and remote prescribing are both supported. The audit trail is always complete.

Booking deposits are taken inconsistently. Some patients pay, some do not, and chasing no-shows after the fact takes up more time than the appointment itself. Late cancellations cost the clinic real money with no recourse.

Calyx:Calyx enforces deposit rules at the point of booking. No deposit, no booking. Cancellation policies are applied automatically. The clinic decides the rules once and the system enforces them every time.

Consent forms are sent as PDFs, signed on a shared iPad, or not completed until the patient is already sitting in the chair. When a complication arises, the documentation is either missing, incomplete, or impossible to locate quickly.

Calyx:Calyx sends consent forms directly to the patient's portal before the appointment. Forms are completed, signed, and stored against the patient record automatically. When you need them, they are there.

The clinic owner has no clear view of how the business is actually performing. Revenue is tracked in a spreadsheet updated manually. Which treatments are most profitable, which practitioners are busiest, and which patients have not returned in six months are questions nobody can answer quickly.

Calyx:Calyx surfaces the numbers that matter without any manual work. Revenue by treatment, practitioner performance, patient retention rates, and inventory usage are all available from the dashboard the moment you log in.

New practitioners join and immediately need access to the booking system, patient records, and clinical tools. Setting them up takes hours across multiple platforms. When they leave, removing their access is an afterthought that sometimes does not happen at all.

Calyx:Calyx sends a magic link invitation. The new team member sets up their account in under two minutes. Role-based permissions control exactly what they can see and do. When someone leaves, one click removes their access entirely.
